PEXA settlement attendance checklist

PEXA is the electronic conveyancing platform used nationwide under the Electronic Conveyancing National Law. This checklist is for solicitors and conveyancers attending PEXA settlements.

Confirm workspace creation

Confirm the PEXA workspace has been created by the lead party and all parties have been invited.

Verify workspace parties

Verify incoming mortgagee, outgoing mortgagee, vendor, and purchaser representatives have joined.

Upload documents

Upload Transfer, Discharge of Mortgage, Mortgage, and any ancillary instruments.

Confirm VOI and CAF

Confirm client verification of identity and client authorisation forms are on file for each party.

Build financial settlement schedule

Build the financial settlement schedule with source and destination lines matching the adjustments.

Confirm stamp duty lodged

Confirm transfer duty has been lodged and the duty line is reflected in the schedule.

Obtain financial balancing

Confirm workspace shows financially balanced before settlement time.

Digitally sign documents

Digitally sign each document assigned to your party using the PEXA signer.

Confirm settlement time

Confirm settlement time with all parties and monitor workspace activity log.

Attend settlement

Monitor the settlement execution — funds disbursement, document lodgement, and title transfer.

Confirm lodgement

Confirm documents have been lodged at the relevant land registry and registration is in progress.

Notify client

Notify client of settlement completion and provide the settlement statement.
