NDIS provider registration checklist
Providers seeking to deliver supports to NDIS participants must register with the NDIS Quality and Safeguards Commission. Registration requires meeting NDIS Practice Standards, passing a quality audit, and maintaining ongoing compliance. This checklist guides legal advisers and providers through the registration process under the National Disability Insurance Scheme Act 2013 (Cth).
This is a 12-step checklist for registering as an NDIS provider in Australia. It covers the application process, NDIS Practice Standards, worker screening, and quality audit requirements under the NDIS Quality and Safeguards Commission framework.
The checklist
Determine registration groups
Identify which NDIS registration groups apply to the supports you intend to deliver and confirm whether registration is mandatory for those supports.
Review NDIS Practice Standards
Review the core module and any applicable supplementary modules of the NDIS Practice Standards relevant to your registration groups.
Prepare organisational governance documents
Compile governance documents including organisational structure, board or management qualifications, ABN, and insurance certificates.
Complete NDIS Worker Screening for key personnel
Ensure all key personnel and workers in risk-assessed roles obtain NDIS Worker Screening Checks through the relevant state screening unit.
Develop incident management system
Establish an incident management system covering identification, reporting, investigation, and resolution of incidents involving NDIS participants.
Implement complaints management process
Create an accessible complaints management process that meets NDIS Practice Standards requirements for participant feedback and resolution.
Prepare behaviour support documentation
If delivering behaviour support, prepare evidence of competency and a framework for positive behaviour support plans and reporting restrictive practices.
Engage an approved quality auditor
Engage an NDIS-approved quality auditor to conduct a verification or certification audit depending on the registration groups applied for.
Submit application via the NDIS Commission portal
Complete the online application through the NDIS Commission provider portal, uploading all required supporting documents and audit reports.
Address conditions or requests for further information
Respond to any conditions of registration or requests for additional information from the Commission within the specified timeframes.
Establish ongoing compliance monitoring
Set up internal compliance monitoring for Practice Standards, worker screening renewals, incident reporting, and mid-term audit preparation.
Plan for registration renewal
Note the registration period (typically three years) and prepare a renewal timeline including re-audit scheduling at least six months before expiry.
When this checklist applies
Use when a new provider is seeking NDIS registration or an existing provider is preparing for registration renewal.
Common pitfalls
- Applying for incorrect registration groups that do not match intended supports
- Worker screening checks not completed before commencing service delivery
- Incident management system not meeting NDIS Practice Standards requirements
- Failing to engage an approved auditor early enough, causing registration delays
- Not tracking registration renewal dates and audit scheduling deadlines
