How to bulk edit matter tags in Quillio

When to bulk edit

Bulk editing is useful for taxonomy changes (renaming a practice area), onboarding a new matter type, or cleaning up inconsistent tagging. For large firms, a yearly tag cleanup keeps the matter list usable.

Tag operations

Three operations — Add Tag (adds the tag to selected matters that do not have it), Remove Tag (removes the tag from selected matters), Replace Tag (replaces one tag with another across selected matters). Rename is handled via Replace.

Undo and audit

Bulk changes cannot be undone in a single click, but all changes are in the audit trail. If a bulk change was wrong, apply the reverse change. The audit trail shows which tags were added or removed from which matters.

Step-by-step
  1. Open the Matter List. Go to Matters from the main navigation.
  2. Filter and select. Use filters to narrow the list (e.g., tagged "family-law"). Use the checkbox to select all filtered matters.
  3. Click Edit Tags. Click Bulk Actions, then Edit Tags.
  4. Apply changes. Choose Add, Remove, or Replace. Enter the tag(s). Confirm. Changes apply and audit trail updates.
Common issues
  • Bulk changes over 1,000 matters take a few minutes to complete
  • Firm admin permission required for bulk operations affecting other users' matters
  • Some tags are system-generated (by matter type) and cannot be bulk removed
