How to download a matter archive
To download a matter archive — open the matter, go to Settings, Archive, and click Download Archive. The archive is a ZIP containing all files, outputs, and a PDF summary. Archives are used for long-term storage or for regulatory retention requirements.
Archive vs export
Archive is different from export. Export is a snapshot of the current matter state for portability. Archive is the complete history of the matter including every version of every document and every AI interaction, designed for long-term retention.
Retention periods
Law society rules generally require retention of client files for 7 years. I flag the specific retention period applicable to your matter type. Archives are the best way to meet these obligations after a matter closes.
Access from archive
Archived matters can be re-opened by restoring the archive. The matter data is restored to Quillio and fully usable. This is useful for long-tail matters (e.g., a property dispute that flares up 5 years after original work).
Step-by-step
- Open the matter. Open the matter you want to archive.
- Go to Archive. Settings, then Archive. The Archive tab shows what will be included.
- Download the archive. Click Download Archive. A ZIP is prepared (can take a few minutes for large matters).
- Store securely. Store the ZIP in your firm's long-term archive (NAS, cloud storage, or practice management archive). Verify the archive opens before closing the matter in Quillio.
Common issues
- Very large matters (hundreds of files) produce large archives — allow storage space
- Archive includes all AI interactions including prompts and outputs — confirm this is appropriate
- Re-opening an archive uses an additional matter slot — confirm plan capacity
